★ Data Entry Clerk · agent or hire?
AI Agent vs Hiring a Data Entry Clerk: Cost Calculator
Moving information from documents and emails into systems is the classic automation target. Modern models read messy documents well. What matters is validation: catching the record that was read confidently and wrongly.

Where the agent cost goes
- Work people still do$2,778
- Reviewing the agent$313
- Model usage$2
- Maintenance$500
Model cost per task: $0.0005 on GPT-6 Luna, for 3,000 agent tasks a month.
An agent that pays back in 2.0 months.

What the agent can and can't take
Good jobs for the agent
- Extract fields from invoices, forms and emails
- Normalise names, dates and addresses
- Flag records that fail validation rules
- Fill in your system through its API
Keep with a person
- Fix a source document that is genuinely ambiguous
- Know a business rule nobody wrote down
- Take responsibility for a mistake that reached a customer
What review looks like: Validate every record against rules (totals add up, IDs exist), send failures to a person, and spot-check a sample of the ones that passed.
Good fit, bad fit
| Good fit if… | Not a good fit if… |
|---|---|
| High volume of similar documents | Handwritten or low-quality scans as the norm |
| Clear validation rules you can check in code | Every document has a different layout and meaning |
| The destination system has an API | No way to check the result automatically |
Risks to plan for
- Silent errors in numbers that look plausible
- Duplicate records from retries
- Personal data in documents sent to a third-party model without the right agreement
How the comparison works
The calculator compares two ways of getting the same tasks done each month: people doing all of them, or an agent doing a share while people do the rest and review the agent's work.
people only = tasks × minutes ÷ 60 × hourly cost
with agent = remaining human work + review time + model cost + maintenance
model cost = agent tasks × (input tokens × input price + output tokens × output price)
savings = people only − with agent
payback = build cost ÷ savings (never, if savings ≤ 0)
It only counts the share of someone's time spent on these tasks, so it answers “what does this work cost”, not “can I remove a job”. Model prices come from the LLM API Cost Calculator.
Worked example
The data entry clerk preset with the example salary of $60,000 plus 25% overhead, 4,000 records a month at 4 minutes each, the agent handling 75% and a person reviewing 15% of those:
| Line | Per month |
|---|---|
| People only | $11,111 |
| Remaining human work | $2,778 |
| Reviewing the agent | $313 |
| Model usage (GPT-6 Luna) | $2 |
| Maintenance | $500 |
| With the agent | $3,592 |
| Saving | $7,519 |
With a $15,000 example build cost, payback is 2.0 months. Notice how small the model cost is next to the human time that remains: review time and the share the agent can't finish usually decide the answer, not token prices.
